Receiving Purchase Orders

The Receiving Purchase Orders option is used to receive items into inventory that were purchased through purchase orders. Once a receipt has been entered for a purchase order, the status of that purchase order changes from "open" to "pending", the on-hand inventory balance of the item is increased, and the inventory is available for use though out the system. The lot received is placed on costing hold until the purchase order is completed using Complete Purchase Orders. The hold lot is not used to cost the item in cost of goods until the hold is released by completing the purchase order.

The use of purchase orders is a three-step process:

Broken into these three sections, the system allows you to receive and work with inventory quickly, and only record the true cost when they are known – which is then reflected in accurate gross margin reports.

Although inventory is created in Receiving Purchase Orders, the purchase order WILL NOT APPEAR in Purchase Inquiry, Daily Purchases Report, or the Purchasing Activity Report until the purchase order is completed through the Complete Purchase Order option. The status of all purchase orders may be viewed in Purchasing Status Inquiry.

Standard and consignment purchase order types are received the same way and create one lot for each purchase order line item received. Settlement purchase orders use a different receiving process that can be used to create multiple lots for the same purchase order line items. In settlement receiving each lot received can have a unique COOL identity unless the item’s COOL control is set to S (S=strict) and the item has a default COOL identity. The other item info lot attributes can also be unique for each lot received .
